Job Description:

 

Finance

  • Perform basic bookkeeping tasks such as recording of income and expense.
  • Conduct bank reconciliation.
  • Write and submit cheques for approval.
  • Manage petty cash.
  • Maintain accurate and up-to-date financial records, including accounts payable and accounts receivable.
  • Assist in developing the company’s financial plans and budgets.
  • Monitor budget performance and provide regular reports.
  • Prepare and file tax/VAT returns in accordance with applicable laws and regulations.
  • Stays informed about changes in tax law and ensure compliance with tax obligations.
  • Monitor cash flow and effectively manage cash resources.
  • Maintain cash flow projections.
  • Coordinate with vendors and suppliers for timely payments.
  • Ensure maintenance of financial files and documents.
  • Assist in preparation of agreements.
  • Coordinate and liaise with internal and external auditors.
  • Manage banking relationships and transactions. 
  • Prepare and present financial reports to senior management in a clear and concise manner to facilitate decision making.
  • Ensure compliance with accounting principles, regulations, and internal controls.
  • Ensure compliance with accounting standards, tax regulations, and legal requirements.
  • Manage the payroll process, including calculating employee salaries, deductions and benefits.  
  • Ensure compliance with employment laws and regulations related to payroll.
  • Coordinate with external payroll service providers if necessary.

 

Administration

  • Assist in staff recruiting and on boarding.
  • Oversee and provide support to the team to enhance performance.
  • Coordinate with executive management and other managers to ensure alignment with the organization’s mission, vision, core values, and objectives.
  • Track team performance and ensure the quality of work.
  • Create reports and memos as needed.
  • Increase the efficiency of existing processes and procedures to enhance the organization’s internal capacity.
  • Participate in internal work meetings and discuss on logistic and operational issues. 
  • Assist the project team in logistic arrangements for meetings, trainings, workshop and other programs as required.
  • Be responsible to maintaining regular office needs, including stationery, office supplies, drinking water, tea/coffee, electricity, cleaning, communication, and other essential items.
  • Organize a filing system for important and confidential documents.
  • Ensure the functionality of necessary office equipment, and requisition new equipment and supplies as needed.
  • Ensure that all equipment is well organized, correctly stored, well protected, fully identified and easily accessible (cleanliness, safety, access, etc.). Update the inventory record of the equipment, furniture and other items including periodic physical verification of inventories and report.
