Project Assistant

Major duties and responsibilities:

  • Assist in projects’ financial resources management, human resources management, efficient procurement and logistical services.
  • Provide logistical support for workshops and other meetings as tasked by the project manager.
  • Provide monitoring support in all routine matters as requested by the Project Manager and in cases of absence, when required, to keep up-to-date on all commitments and tasks.
  • Liaise with external vendors, following CIMMYT procurement guidelines, by processing requests of project supplies.
  • Support CSISA’s HR activities, including staff recruitment, contract renewals, trainees, on-the-job trainees and consultancy contracts; and maintaining a database of active staff.
  • Maintain a database of consultancy payments and ensure payments to consultants are done on a timely manner.
  • Follow-up with project staff to guarantee smooth implementation of administrative and operational activities of the project.
  • Maintain up-to-date files and records of project documentation.
  • Support the Project Manager on day-to-day activities.
  • Perform any other tasks and assignments related to the CSISA project(s), as directed by the CSISA Project Manager.

 

Required academic qualifications, skills and attitudes:

  • Bachelor’s degree or professional qualification requiring 2 or more years’ study.
  • Technical Requirements: Use of computers and minor troubleshooting of IT, MS office applications, drafting minutes and letters, good knowledge of written and verbal English.
  • Fair English skills: read and respond appropriately to correspondence, orally and in writing. Ability to prepare regularly used documents and report without assistance.
  • Service-oriented: frequent contact with people other than immediate colleagues, but mostly within CIMMYT.
  • The candidate must exhibit sense of urgency and commitment to responsibilities and deadlines.
  • Minimum 2 years’ experience preferably in INGO/NGO working environment.
  • The selected candidate must exhibit the following competencies: Critical and Creative thinking, Communication, Teamwork, Client orientation, Problem solving and decision-making, Negotiation and conflict resolution.
