RESPONSIBILITIES AND DELIVERABLES:
- Reporting to Founder & President and performing secretarial and administrative duties.
- Typing, formatting, and editing reports, documents, and presentations.
- Entering data, maintaining databases, and keeping records.
- Liaising with internal departments, answering calls, and making travel arrangements.
- Managing internal and external correspondence on behalf of the Founder & President.
- Scheduling appointments, maintaining an events calendar, and sending reminders.
- Copying, scanning, and faxing documents, as well as taking notes.
- Preparing facilities for scheduled events and arranging refreshments, if required.
- Acting as a first point of contact for callers, dealing with emails and phone calls by responding, passing on messages or highlighting them for their manager’s attention
- Reminding the Founder & President of important tasks and deadlines
- Conducting research on behalf of the Founder & President
- Liaising with staff, suppliers and clients
- Help with daily time management
- Run errands as requested.
QUALIFICATIONS AND SKILLS:
- Preferably bachelor’s degree in business administration, business management, business studies, social science or any other relevant field; additional qualifications will be a plus Prior experience in a personal assistant, executive secretary, or office manager role
- Proficient in Nepali and English (oral and written)
- Good organizational and multi-tasking abilities
- Problem-solving skills
- 1-2 years of experience in a similar role
- Exceptional ability to create a welcoming environment.
- Experience in answering and screening calls and scheduling appointments.
- Ability to observe office etiquette and maintain a professional appearance.
- Experience working with spreadsheets, and emails, including Microsoft Word, Excel, and Outlook
- Working knowledge of printers, copiers, and scanners.
- Excellent interpersonal and communication skills.
- Ability to follow established processes
- Experience in creating and maintaining office management systems and procedures
- Ability to multitask and prioritize workloads
- High level of attention to detail.
