Job Description:
Under the supervision of the Finance Coordinator, the Finance Officer will support the work and project portfolio of KTK-BELT. Specially, the successful candidate for this position will:
Responsibilities Related to Accounting:
- Develop a long-term accounting system for KTK-BELT that is sustainable, transparent, efficient, user-friendly, useful for audits and reporting, and compliant with all national and international laws.
- Maintain day-to-day bookkeeping.
- Ensure financial records are up-to-date with the latest transactions in accounting software (QuickBooks).
- Handling Petty Cash Management.
- Handling Stationery Inventory Management.
- Ensure management of online files and appropriate filling of electronic and hard copies of the financial documents & and reports.
- Manage banking transactions related to the project, including preparing bank transfer requests, submitting them to the bank, and monitoring transfers.
- Preparing bank reconciliation statements on a monthly or bi-monthly basis based on the volume of transactions.
- Compliance with TDS payment, E-TDS filling and tax return filling in accordance with the Income Tax Act 2058 of GoN.
Responsibilities Related to Human Resource Management:
- CIT/ SSF deposit of KTK BELT.
- Coordination with the insurance company regarding the accidental/medical insurance of staff.
- Prepare contract, and offer letter of staff/consultants as required.
- JD/ToRs preparation with coordination with directors/coordinators.
- Job vacancy posting in online job search portals (i.e. merojobs, etc.).
- Facilitate the receipt of visas for ex-pats and team members traveling abroad.
- Ensure smooth air travel management, visa assistance, travel insurance and accommodation.
Responsibilities Related to Administrative Works:
- Flight and travel-related bookings.
- Maintain an inventory file to support purchases of all equipment/assets in a quarterly basis with physical verification.
- Ensuring proper procurement documents are acquired.
- Donor trip coordination and organizing.
- Ongoing maintenance of internet and other utilities.
- Provide photocopying, scanning, and document binding services as requested.
- Provide filing services, archiving, and offer circulation of mail service within the office
- Collection of photos & stories for Facebook & other social media.
Key Qualifications/Special Skills and Experience:
- The highest degree of gender and caste sensitivity is a must.
- Complete fluency in written and spoken English and Nepali.
- Minimum Bachelor’s Degree in Management with 3 years’ experience in a similar position. Having a professional accounting qualification would be an advantage.
- Familiar with QuickBooks accounting software.
- Experience in organizing internal and external audits.
- Prior experience working in an NGO environment with experience of coordinating with international donors on accounting/financial management is required.
- Demonstrated computerized financial management, accounting, and procurement skills.
- Knowledge of specific Nepali rules and regulations regarding finance and accounting, and ability to brief non-finance staff on these rules and regulations in an effective manner
- Highest degree of personal integrity.
- Ability to walk across difficult terrain to reach project sites.
- Highly professional with strong interpersonal skills.
