Assistant/Senior Assistant– HR and General Administration

Key Duties & Responsibilities:

 

A. Human Resource Related

  • Ensure proper record keeping of personal folders of staff members.
  • Ensure proper data management in HR software.
  • Oversee staffs’ attendance, punctuality, dress code, leave details etc.
  • Assist in recruitment process including screening, shortlisting of candidates.
  • Assist in devising effective performance appraisal mechanism.
  • Assist in payroll administration including related financial transactions.
  • Handle employee grievances.
  • Ensure compliance with company staff’s bylaws and prevailing laws and regulations.
  • Ensure timely renewal/ addition of staff insurance
  • Any other ad-hoc duties as assigned by line manager.

 

B. General Administration Related

  • To coordinate with different vendors in a prompt manner to avoid any service disruption.
  • Ensure compliance of internal Bylaws before making procurement decisions.
  • Prepare necessary memos and take necessary approvals for procurement.
  • Ensure timely renewal of different contracts.
  • Ensure timely and proper verification of physical assets.
  • Ensure proper coding of existing as well as new assets.
  • Ensure timely renewal/ addition of insurance policies.
  • Maintain petty cash details.
  • Monitor and efficiently maintain office inventories and prepare monthly inventory report.
  • Ensure proper security of office assets/inventories.
  • Manage the maintenance issues for general repair of overall office assets.
  • Supervise clerical/ administrative personnel by communicating job expectations, disciplining the employees.
  • Direct and mentor administrative staffs to achieve maximum output.
  • Any other ad-hoc duties as assigned by line manager.

 

Expected Skills/ Experience/Knowledge:

  • Strong verbal/written communication skills with public relation abilities.
  • Sound skills in MS applications such as Word, Excel and PowerPoint.
  • Proficiency in written and spoken English & Nepali.
  • Team player, self-driven, results-oriented with a positive outlook.
  • Ability to perform tasks independently with little supervision.
  • To update with the prevailing laws, bylaws, directives and keep track of regulatory amendments.
  • Ability to accomplish assigned tasks by line manager.

 

Eligibility Criteria:

  • Bachelor’s degree in Mgmt. with min. first division or CGPA 3.25 on a scale of 4 from recognized university.
  • Candidates having prior experience in related field will be preferred.
  • Age should not exceed 30 years as on August 26, 2023.
