Job Description

  • Performing bookkeeping tasks such as journal, ledger, invoicing, daybooks, monitoring accounts receivable/payable and budget tracking.
  • Issue purchase orders for materials, plan inventory & oversee its efficiency and ensure quality of materials & keep record.
  • Maintaining general office files, including job files, vendor files, and other files related to the company’s operations.
  • Liaise with third parties (banks, vendors, tax office, and others) to ensure smooth operation.
  • Ensure every transaction is recorded in accounting software (Tigg, Tally and MS Excel/Spreadsheet, MS office package) and accounting records are maintained properly.
  • Maintain and check petty cash & reconcile it.
  • Monitor office expenses to ensure they are within the approved budget.
  • Assist in preparation of periodic and year-end financial reports for the company.
  • Process utilities, rent and other payments for the office on time.
  • Calculate and process salary payments and process pay slips.
  • Assist and ensure bank accounts and PAN are registered for new employees.
  • Safe keeping of company letter heads, stamps, correspondence, legal documents and other materials.
  • Regularly check attendance of employees, movement from office, leave, outfit, punctuality and appearance.
  • Maintains accurate records for employee leave requests.
  • Ensure tidiness, upkeep and cleanliness of office properties, equipment, furniture, etc.
  • Organizing and distributing stationery and other materials as per requirements.
  • Handling visitors, greeting guests and making appointments with the concerned department.
  • Performing other relevant duties when needed.
  • Highly Proactive.
