Job Description

  • Handle incoming and outgoing communication, ensuring prompt and professional responses to inquiries and requests.
  • Oversee day-to-day office operations, ensuring a clean and organized workspace.
  • Archive monthly timesheet of all staff, trainees, and interns.
  • Assist in maintaining the leave record of women lead team.
  • Facilitate the staff benefits - i.e. accident insurance, medical and life insurance etc. in coordination with the Finance Coordinator. Assist employees with insurance benefit-related inquiries and concerns.
  • Record the office merchandise for programs and report monthly usage to the Finance Coordinator.
  • Maintain inventory of office supplies and program materials (regular purchases & store keeping).
  • Organize and secure all administrative filing, records and archiving of important documents (lease, contract, MOUs, registration certificates, procurement forms etc.)
  • Draft the contract of interns, trainees and resource person/facilitator of the particular program.
  • Ensure proper recording of fixed assets of the organization and support the Treasurer with the annual fixed asset review.
  • Provide administrative support to the Finance Coordinator.
  • Maintain good relationships and coordinate with vendors for the procurement of goods and services as needed.
  • Assist in maintaining petty cash.
  • Management of Chautara Resource Centre.

 

Note: This is a full-time position with a minimum contract duration of 2 years. The Administrative Associate will start in June 2024.
