  • Excellent english writer and speaker: Grammar, Punctuation, Messaging, Copywriting (background in content writing is a plus)

  • Exceptional Skills in Google Sheets, Excel and creating Dashboards (or the willingness to learn quickly).

Job Description

We are looking for an Administrative Assistant to work with us on taking care of the administrative roles, managing the CEO’s schedule and taking care of tasks to increase organizational efficiency. We understand that this role is a mainly administrative role and you may not be fully equipped with the accounting skills, so we will be training you on the required accounting skills. As an Administrative Assistant, your responsibilities will be as follows: 

 

  • Attend board meetings when requested by the CEO
  • Assist the Operations Manager and Projects Manager in the running of operations and maintaining records of such checks, folders, tracking and alerting the need for updating when required.
  • Assisting the Senior Management Team (SMT) with the collection/compiling of data as required. 
  • Assisting the Senior Management Team with recruitment/induction processes, including job advertisements, draft job offer letters and contracts and filing of such HR records. 
  • Doing research on the Behalf of the CEO. 
  • Making the Schedule of the CEO and organizing tasks and priorities. 
  • Taking of meeting minutes as required.
  • Undertake general admin tasks under the direction of SMT e.g. dealing with items of correspondence, telephone messages & enquiries and filing. 
  • Managing the Record of Financial Transactions, revenue records and expense records. 
  • Check, process and record all payments, administer invoices and expenses claims received, code items to agreed budgets, and action payments.
  • Maintain accurate bank records of cash withdrawals and deposits.
  • Ensure efficient payments and disbursements according to approved policy and procedures
  • Provide administrative, logistical, and procurement support to the team, including payment to all stakeholders and ongoing operations
  • Assist activities managers with compiling, managing, monitoring, and tracking budget (e.g. organizing invoices, checks, & other financials) and preparing financial/funding reports, when deemed necessary.
  • Liaise with and review budgets and expenditure as necessary with the CEO and prepare daily, weekly and monthly reports.
