Job Description
- Manage the day-to-day operations of the office, including scheduling meetings and appointments, organizing files, and handling correspondence.
- Act as the point of contact between executives and internal/external stakeholders.
- Manage vendor/supplier warehouse, including receiving, storage, and shipping.
- Supervise logistics, warehouse, transportation and customer services.
- Meet with vendors/suppliers on occasion, negotiate contracts, oversee and inspect work, evaluate and approve invoices, maintain proper documentation of work.
- Coordinating with project engineers and site supervisors to ensure that projects are completed on time and within budget.
- Monitor project progress and report any discrepancies to the executive.
- Prepare reports, presentations, and other documents for the executives as required.
- Coordinate travel arrangements for executives and handle related logistics.
- Organize and maintain the office filing system, including electronic and hard copy documents.
- Process and track invoices, purchase orders, and other financial documents as required.
- Manage inventory of office supplies and equipment and order new supplies as needed.
Job Specification
- Proven work experience as an Administrative Officer, Administrator or similar role.
- Must have completed Bachelor’s degree in Management.
- Must be aware of vendor management and logistics management technique.
- Solid knowledge of office procedures.
- Experience with office management software like MS Office (MS Excel and MS Word, specifically).
- Strong organization skills with a problem-solving attitude.
- Excellent written and verbal communication skills.
- Attention to detail.
