Job Description:

 

Position Overview:

We are looking for a dedicated and organized Admin Officer to join our hydropower construction company. As the Admin Officer, you will play a key role in providing administrative support to the management team and ensuring the smooth and efficient operation of the company's administrative functions. Your responsibilities will encompass a wide range of tasks, including office management, document control, procurement support, and general administrative duties.

 

Key Responsibilities:

  • Office Management: Oversee the day-to-day operations of the office, ensuring a well-organized and productive work environment.
  • Document Control: Manage and maintain company documents, contracts, and records, ensuring proper filing, storage, and confidentiality.
  • Procurement Support: Assist with procurement activities, including obtaining quotations, preparing purchase orders, and coordinating with suppliers.
  • Correspondence Handling: Handle incoming and outgoing correspondence, emails, and phone calls, directing them to the appropriate individuals and responding when necessary.
  • Meeting Coordination: Schedule and coordinate meetings, conferences, and appointments for the management team, preparing meeting agendas and taking minutes as required.
  • Travel Arrangements: Arrange travel logistics for company personnel, including flight bookings, accommodation, and transportation.
  • Office Supplies Management: Monitor and maintain office supplies inventory, placing orders as needed to ensure a well-stocked office.
  • Petty Cash Management: Handle petty cash transactions and maintain accurate records of expenses.
  • Employee Support: Assist employees with administrative inquiries and provide support on HR-related matters.
  • Record Keeping: Maintain accurate records of administrative expenses and prepare periodic reports as needed.
  • Facility Management: Liaise with building management and service providers for maintenance and repair of office equipment and facilities.
  • General Administrative Duties: Perform general administrative tasks, such as filing, photocopying, scanning, and other ad-hoc assignments as required.
