Duties and Responsibilities:

Procurement and Financial Responsibilities (75%)

  •  Assist with finance functions including day-to-day accounting transactions including petty cash, bookkeeping, cash accounts, and bank reconciliations. Entry of vouchers/transactions into FAMAS software and production of required financial reports and statements.
  • Ensure all transactions accepted for payment processing are correctly approved and accurate accounting information is provided for posting in the ledger.
  • Manage petty cash for small frequent payments to the suppliers/ service providers for office running utilities and facilities.
  • Assist DoF to coach and train field staff in all matters regarding procurement and financial reports.
  • In coordination with the DoF, ensure transparent and process-led planning, implementation and reporting of the procurement of goods and services for the dZi country office and also to provide guidance and build capacity of partner NGOs to ensure compliance and standards.
  • Onsite visit to NGO partners to access and enhance the capacity of NGO partners to ensure effective management of the financial resources in line with dZi procedures.
  • Assist in providing management responses to audit reports and timely implementing the audit recommendations.
  • Calculate the taxes on applicable deducted sources, deposit them in a timely manner to the concerned office and maintain E-TDS system.
  • Support the DoF in preparation of projection, ensure all expenses are within the assigned budget and check the completeness of all required supporting documentation for all payments vouchers.
  • Any other tasks assigned.

 

Administrative Responsibilities (25%)

  • Organize, and digitalize the financial documents and archive relevant documentation, keep files complete and up to date and maintain quality and accessibility of archive and files, and confirm administrative procedures and filing procedures.
  • Keep an up-to-date inventory list of equipment, assets, and means of transport, and the relevant contracts and leases including the safeguarding of assets.
  • Facilitate disposal of damaged office equipment and assets.
  • Provide support role in audits (internal and external) including preparation of documents for internal, external, and donor audits), when necessary.

 

Required Qualifications:

Education:

  • Master’s and/or bachelor’s degree in Business Administration, Business Studies, Finance, and other relevant fields from a recognized university.

 

Prior Work Experience:

  • Progressive professional experience of more than 3 years for master’s and/or more than 6 years for bachelor’s in a relevant role within national and international development organizations.
  • Preferences will be given to the candidates demonstrating progressive professional experience, including work experience at and with local organizations in Nepal, with proven experience as a support or a lead role in designing, rolling out and adapting administrative, procurement and financial policies and procedures and designing and delivering the capacity building plans of the counterparts.
