Required Work Experience and Skills:

 

  • Prior experience in Office Administration, Procurement, Asset Management & Facilities/Logistic Management
  • Strong Attention to Detail.
  • Ability to Work without Supervision.
  • Excellent Time Management Skills.
  • Excellent Verbal and Written Communication including Proficiency with the Microsoft Office application

Academic Qualifications:

 

  • Master's or Bachelor’s degree in office administration, accounting, business, administrative services a related field.

 

Senior Officer- Admin will be responsible for, yet not limited to:

 

  • Plan for procurement of goods and services required for the company as per the annual approved budget.
  • Perform pre-procurement activities such as preparing required BOQ or specification of goods or service required, cost estimation, market inquiry, seeking quotations, comparing quotations/rate list, price and payment term negotiation & vendor selection for purchase of goods and acquisition of services as per procurement plan or requirement of the company.
  • Generate purchase orders when inventory levels reach reorder level.
  • Receive and scrutinize the quantity and quality of goods or services as per purchase order/contract, review invoice/payment request received and recommend for book-keeping and payment.
  • Maintain the list of past, current & prospective vendors/contractors for necessary goods and services required for the company. Review the list on an annual basis and update it.
  • Maintain an adequate level of inventory of laptop & accessories, stationery, spares, consumables etc. and keep them safely in the appropriate place.
  • Maintain computerized record of fixed assets, spares, and stationery items in systematic manner with details of receipt, issuance, and balance.
  • Review the requisition of laptop & accessories, stationery etc. and provide them to concerned employees at earliest.
  • Review the maintenance requirement of leasehold assets, furniture & fixture, computer & accessories, office equipment and any other assets on regular basis and propose for maintenance or replacement as per cost & benefit analysis.
  • Arrange for property insurance of fixed assets of the company, if necessary.
  • Arrange for fixed asset tagging, periodical physical verification and update the fixed asset register accordingly.
  • Review the adequacy of basic amenities such as lighting, seating, network, internet, water, tidiness, etc. in the office space and instruct support staff/vendor for necessary arrangement.
  • Handling the logistic requirements of the company such as ticketing, hotel booking, courier service, transportation, event management etc.
  • Plan, Supervise and guide the kitchen operation for hygienic & quality food service to employees, for maintenance of kitchen & dining areas neat & clean and arranging required grocery items.
  • Make necessary arrangement for providing various facilities to employees inside or outside the office space, as per company policy, including but not limited to fitness, sport, entertainment, merchandise etc., if required.
  • Provide constructive input to reporting line or management for cost optimization.
  • Provide required information/inputs for preparation of annual budget.
  • Any other tasks assigned by reporting line or the management.
