 Qualification Standards:

  • Bachelor's Degree in any Business Discipline

Job Description

  • Responsible for handling, answering, screening, and forwarding all incoming and outgoing calls without delay. 
  • Responsible to deal with all inquiries in a professional and courteous manner, in person, on the telephone or via e-mail. 
  • Greet and welcome guests as soon as they arrive at the office. 
  • Direct visitors to the appropriate person and office. 
  • Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms, and brochures). 
  • Provide basic and accurate information in person and via phone/email 
  • Receive, sort, and distribute daily mail/deliveries. 
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges). 
  • Order front office supplies and keep an inventory of stock. 
  • Update calendars and schedule meetings. 
  • Arrange travel and accommodations. 
  • Keep updated records of office expenses and costs. 
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing. 
  • To keep a close eye on the staff attendance both on a register and electronic machine and inform HR if there are any discrepancies. 
  • Be aware of and report suspicious activity  
  • To contribute to team effort by accomplishing related results as needed. 
  • To deliver excellent customer service, at all times 
  • Booking and preparing meetings, conferences, and training rooms, informing participants. 
  • Handle basic bookkeeping and cashiering  duties 
  • Other works as and when assigned by the concerned authority.
