AREAS OF RESPONSIBILITY:

The People and Culture Trainee will be chiefly responsible for the following areas of work:

 

1.Support day-to-day activities across the People and Culture function

  • Assist with the recruitment and selection process, which includes logistic coordination and support, for example, communicating with the applicants, and scheduling interviews.
  • Support the People and Culture Officer to onboard the new hires by tracking the onboarding cycle.
  • Assist with performance management by tracking employees’ performance review cycles.
  • Assist with employee engagement initiatives, which may include coordinating employee recognition programs, organizing team-building events, and soliciting employee feedback through surveys.
  • Support the team with general office duties, including but not limited to receiving and directing visitors, data entry, filing, and coordination.
  • Assist team members with general office management and provide PAC and admin support as and when required.
  • Carry out tasks as directed and determined by the People and Culture Officer.

 

2.Assist in maintaining up-to-date documentation within the organization:

  •  Assist in managing the flow of paperwork.
  • Organize and archive documents.
  • Label, sort, and categorize documents for ease of use.
  • Retrieve documents upon request.
  •  Work with various functions to ensure consistency of documentation practices across the organization.
  • Assist with internal and external audits.
  • Ensure the integrity of the documentation.
  • Remove obsolete documents.

 

3.Provide support in Logistic coordination and communication

  •  Assist and facilitate the team with logistics and communication as required.
  • Support the operations team in the inventory management and procurement process.
  • Perform tasks such as collecting signatures from the Board on meeting minutes and other documents, and dropping documents/reports to the regulator and monitoring bodies, our collaborators, and partners as relevant.
  •  Support the logistics of the board meetings.
  •  Provide logistics assistance to research projects and the Finance and Operations function, such as bulk printing of confidential documents, scanning, and photocopying.
  •  Provide support for administrative tasks and assist with financial work, including visits to banks, Provident Fund, Citizen Investment trust, and Inland Revenue offices, etc.

 

The above list of responsibilities is not comprehensive and may be changed with discussion and alignment between the People and Culture Trainee and his/his/their Line Manager.
